Opus Writing Systems LLC ("Opus Writing Systems," "we," "us," or "our") makes the OpusWriter desktop application and operates the website at opuswriter.app.

This policy explains what information is handled when you visit the website, contact us, purchase or activate OpusWriter, or use features in the desktop application that connect to an outside service.

The short version

Your writing belongs to you. OpusWriter stores your projects on your computer in files you control. We do not receive your manuscripts, notes, project files, or other writing unless you deliberately send them to us, such as in a support email.

The desktop application does not send us usage analytics, crash reports, diagnostic logs, or information about which features you use. It does make limited internet connections for software updates, license activation and deactivation, optional downloads, and optional AI features that you choose to connect.

The OpusWriter website uses cookies and similar technologies for hosting, security, analytics, advertising measurement, and affiliate attribution. Those website services are described below.

Information you give us

We receive information when you choose to provide it, including:

  • your name and email address;
  • messages and other information you submit through a website form or send by email;
  • your newsletter preference;
  • support requests and any files or project excerpts you choose to include; and
  • purchase, order, refund, and license information made available to us by our payment and licensing provider.

Please do not send sensitive personal information in a support request unless it is necessary for us to help you.

Purchases and license activation

Purchases are processed by Polar. Polar collects the information needed to complete the transaction, which may include your name, email address, billing address, payment details, tax information, IP address, and device information. We do not receive or store your complete payment-card number. Polar handles purchase information under its Privacy Policy.

When you activate OpusWriter, the application sends Polar your license key and a label based on the computer name so Polar can register that activation. Polar may also receive standard connection information, such as your IP address. Polar returns an activation identifier and may return the email address associated with the purchase. OpusWriter stores the license key, activation information, and trial status locally on your computer.

After a successful activation, OpusWriter does not routinely contact Polar to revalidate the license. A connection is made again if you choose to deactivate the license on that computer.

Information stored by the desktop application

OpusWriter stores project files, application settings, backups, recovery information, and other working data on your computer. Depending on the type of information, it may be stored in your .opws project file or in local application storage.

We do not have access to that locally stored information. Deleting a copy from your computer does not send a deletion request to us because we never received the copy in the first place.

Software updates and optional downloads

OpusWriter periodically connects to updates.opuswriter.app to check for software updates. It may also connect there when you choose to download an optional component, such as a voice pack. These files are hosted through Cloudflare.

Those requests may include the current application version and standard network information such as your IP address, operating system, request time, and user-agent information. We use this connection only to provide, secure, and maintain downloads and updates. Cloudflare handles information under its Privacy Policy.

Optional AI features

OpusWriter does not include an Opus Writing Systems AI service. If you choose to enable the optional AI-assisted editing and feedback features, you connect your own account and API key from one of the supported providers:

Your API key is stored locally in the application's data on your computer. We do not receive or store it.

When you request an AI feature, OpusWriter sends the instructions and relevant text needed for that request directly from your computer to the provider you selected. That material may include manuscript text, notes, a reader persona, or other context shown to you by the feature. The provider returns its response directly to the application. Opus Writing Systems does not receive or retain the request or response.

The selected provider processes that information under its own terms, privacy policy, account settings, and retention rules. If you use OpenRouter, it may also route the request to the company that operates the model you selected. Review the applicable rules before sending material you consider confidential. You can use OpusWriter without connecting any AI provider.

Information collected on the website

When you visit opuswriter.app, we and the services used to operate the site may automatically receive information such as:

  • your IP address and approximate location derived from it;
  • browser, device, operating-system, and network information;
  • the page or website that referred you;
  • pages viewed, links clicked, scrolling, mouse movement, and other interactions;
  • dates, times, session identifiers, and performance information; and
  • security and error information.

We use this information to operate and protect the website, understand how visitors use it, measure advertising and referrals, and improve its content.

Cookies, analytics, advertising, and affiliate tracking

The website uses cookies, pixels, local storage, and similar technologies. Some are required to serve and secure the site. Others help measure traffic, understand how the site is used, attribute referrals, and measure advertising.

The services currently used on the website include:

You can limit cookies through your browser settings. Blocking some technologies may affect website features. Where required by law, we will request consent before using non-essential cookies or similar technologies.

We do not sell personal information for money. Some privacy laws define the use of advertising pixels or audience-measurement tools as "sharing," "targeted advertising," or a "sale" even when no money is exchanged for the data. You may ask us to opt you out of those uses by emailing wesley@opuswriter.app with the subject Privacy Request. We will honor applicable browser-based opt-out signals where required by law.

Email communications

If you sign up for news and updates, we use your email address to send those messages. You can unsubscribe at any time using the link in an email or by contacting us. Unsubscribing from marketing does not prevent us from sending transactional messages about a purchase, license, refund, or support request.

We use Loops to send and manage these communications. Loops processes your email address and engagement information on our behalf under its Privacy Policy.

How we use information

We use information we receive to:

  • provide the website, purchases, licensing, downloads, updates, and support;
  • respond to questions, refund requests, and other messages;
  • send marketing messages when you have asked to receive them;
  • protect the website and services from fraud, abuse, and security threats;
  • understand website traffic, advertising, and referrals;
  • maintain business, tax, accounting, and legal records; and
  • comply with law and enforce our agreements.

Where laws such as the UK or EU General Data Protection Regulation apply, we process personal information as needed to perform a contract, comply with legal obligations, pursue legitimate interests such as security and service improvement, or act with your consent. You may withdraw consent at any time, although that does not affect processing that already occurred lawfully.

When we share information

We share information only as needed for the purposes described in this policy:

  • with the service providers identified above and other vendors that help us host the site, process payments, manage licenses, deliver email, provide updates, prevent abuse, and operate the business;
  • with an AI provider only when you choose that provider and request an AI feature;
  • when required by law, legal process, or a valid government request;
  • when reasonably necessary to protect the rights, safety, and security of Opus Writing Systems, our users, or others; or
  • in connection with a merger, acquisition, financing, reorganization, or sale of all or part of the business, subject to appropriate confidentiality and notice requirements.

Service providers that process information on our behalf are engaged for the purposes described in this policy. Some providers, including Polar, Meta, and an AI provider you select, may also act as independent businesses and process information under their own policies.

How long we keep information

We keep personal information only as long as reasonably necessary for the purpose for which it was collected, including:

  • support and contact records for as long as needed to resolve the request and maintain reasonable business records;
  • purchase, refund, tax, and transaction records for the periods required by accounting and tax laws;
  • newsletter information until you unsubscribe or we stop using the mailing list; and
  • website analytics and referral information according to the settings and retention periods of the services described above.

Information stored only on your computer remains there until you delete it, uninstall the application, or use an in-app control that removes it. Third-party providers retain information according to their own policies and your account settings.

We may retain information longer when required by law, needed to resolve a dispute, or necessary to prevent fraud or abuse. We may retain aggregated or de-identified information that no longer identifies an individual.

Security

We use reasonable administrative, technical, and organizational safeguards appropriate to the information we handle. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.

You are responsible for protecting access to your computer, project files, license key, email account, and any third-party API keys you choose to store in OpusWriter.

Your privacy choices and rights

Depending on where you live, you may have the right to:

  • ask whether we hold personal information about you;
  • request a copy of that information;
  • correct inaccurate information;
  • ask us to delete information;
  • object to or restrict certain processing;
  • withdraw consent;
  • request a portable copy of information you provided;
  • opt out of marketing, targeted advertising, or certain forms of data sharing; and
  • appeal a decision we make about a privacy request.

To make a request, email wesley@opuswriter.app with the subject Privacy Request. We may need to verify your identity before completing a request. We will not discriminate against you for exercising a privacy right. You may also have the right to complain to the privacy or data-protection authority where you live.

These rights apply to information we or our service providers control. For information held only on your computer, you control it directly. For information controlled by a third-party service you chose, such as an AI provider, you should also contact that provider.

International transfers

Opus Writing Systems is based in the United States. Our service providers may process information in the United States and other countries. Where required, we and our providers use recognized safeguards for international transfers of personal information.

Children

The website and software are not directed to children under 13, and we do not knowingly collect personal information from a child under 13. If you believe a child has provided personal information to us, contact us so we can review and delete it as appropriate.

Changes to this policy

We may update this policy when the product, website, service providers, or legal requirements change. We will post the revised policy here and change the "Last updated" date. If a change materially affects how we use personal information, we will provide additional notice when appropriate.
